TERMS AND CONDITIONS and other useful information
HEMSFORD Yurt Camp caters for quiet family holidays. Sound travels a long way in the countryside at night and we would ask that you respect fellow visitors and our rural neighbours and therefore we request that noise be kept to a minimum in the late evenings. No amplified music and no shouting or rowdiness after 9pm. We ask that any Groups pay special attention to this. If this restriction might limit your holiday requirements then please do not book. Stag and Hen parties are not accepted without prior discussion and agreement and acceptance of our noise curfews.
On Arrival our Welcome Book will be available in your yurt. Please read the guide to ensure you have a safe and enjoyable holiday. This will be a guide to use of our yurt and facilities in each of our yurts.
Animals: Hemsford House is a smallholding so there are chickens, horses and other animals that live here too, we therefore do not allow dogs or other pets on site. Please keep all gates shut and observe the country code. Please do not feed the animals without permission.
We do our very best to provide a safe environment. Please be responsible for your children's safety at all times, especially around hot stoves, camp fires, the river and lake. Please keep fires small and manageable and within the firepit. Please be aware of naked flames and hot stoves.
Small Children and Babies: A cot and a high chair can be provided if required at a small extra charge, please ensure this request is marked clearly on your booking form. You will have to provide your own cot bedding.
Arrival. Your Yurts are available from 4pm on the day of your arrival. It is not possible to have access to the site before 4pm. We would ask you to arrive before 4 - 5pm when we will be waiting to greet you and show you around the facilities. If you are delayed, please telephone the camp on 01803 762525 or text 07779 800703 to advise us of your anticipated arrival time. On arrival please ensure you read the Welcome Pack in the Yurt. All Yurts are non smoking. Please always remove outdoor foot wear before entering the Yurt. If arriving after 8pm please contact us for access details. We do not accept arrivals after dark without prior arrangement and reserve the right to make an additional charge for arrivals after 9pm.
Departure. On the day of your departure please leave the site before 10.30am. You are kindly asked to leave everything in a clean and tidy condition as you found it. Thank you.
Damages: On arrival we require a credit card/debit card details for damage/noise deposit for of £150. Your card will not be debited unless there are any problems and if there is no damage to the yurt or facilities. Please report any damages to us as soon as possible - please do not wait until the last day of your holiay to report any damages.
Footwear inside the yurts: Please note that outdoor footwear should not be worn inside the yurt - there is a shoe box provided inside the yurt to store your footwear - please bring slippers for indoor use. This is particularly important in wet weather.
Serious accidents. We cannot accept liability for any personal injury loss or damage which may be sustained by your party or their guest or their property during your stay at Hemsford Yurt camp. You will be held responsible for any serious damage or loss sustained to property during your stay.
Group Bookings. The organiser of a group booking is responsible for coordinating all deposits and balance payments.
Yurt Capacity. It is a condition of your booking that the total number of adults in your party should not exceed the adult capacity of the Yurt as advertised and should correspond with your booking form. For more information or to ask about numbers of children over and above the guideline capacity, please contact us. We will also consider requests for your own tents to be erected along side your chosen Yurt by prior arrangement, however there will be an additional charge for this facility.
General Safety Each yurt has a fire extinguisher, smoke alarm and CO monitor. We also provide heat resistant gloves for loading the stove and a fire guard for your protection.
Toilet and washroom facilities: Adjacent to the Yurt camp are toilets and washrooms with hot shower. We have up to date facilites with an eco friendly septic tank. Please ensure nothing other than human waste/toilet paper is flushed into the system.
Check in time: between 4pm and 5pm (please ring 01803 762525 or 01803 762774 or 07779 800703 if arriving later than this time) Unfortunately we do not accept arrivals after 8pm. Due to the rural nature of the location it is more difficult to find in the dark and for this reason we advise you to plan your journey to arrive before dusk. If you are inadvertently delayed by traffic delays please telephone as soon as possible to inform us. We reserve the right to make an additional charge for late arrivals after dark.
Check out time: 10.30 am on day of departure - please ensure you leave everything in a clean and tidy condition - thank you.
Peak Times: State school Easter & Summer Holidays, all state school half terms, Bank Holiday weekends.
In the unfortunate event you have to cancel your holiday for whatever reason, please note that we are unable to offer refunds, but if it is possible to re-let your holiday we will offer you alternative dates.
Please telephone us immediately if you have to cancel. We will always do our best to re sell your holiday for you, but this will incur an administration fee of £50, alternatively if you can find someone to take the dates you have booked then this fee will be waived.
If cancellation is 4 weeks + prior to your stay and we are able to re sell your holiday you will forfeit the deposit only. Cancel within 4 weeks and you will be held responsible for the prompt payment of the full cost of your holiday.
We advise you to take out holiday cancellation insurance.
We reserve the right to cancel your booking - however If we have to cancel your holiday for any reason then we may offer you alternative dates for booking or provide a full refund.
